Kaw Valley Dulcimer Club BY-LAWS

ARTICLE I    NAME

This organization shall be known as the Kaw Valley Dulcimer Club.

ARTICLE II   PURPOSE

The purpose of the Kaw Valley Dulcimer Club is dedicated to the education of its members and preservation of music in general and of the hammered and mountain dulcimer, specifically.

ARTICLE III MEMBERSHIP & DUES

Section 1.   Annual dues are $15.00 for regular members.

Section 2.   Annual dues are due October 30. Any club member who fails to pay his/her annual dues by November 15 be dropped from the mailing list.

Section 3.   Guests and prospective members may attend two meetings for free. After that private lesson rates of $15 may be charged.                           

ARTICLE IV  MEETINGS

Section 1:   The regular meeting day will be the third Sunday of every month from 2 p.m. to 5 p.m. They shall consist   of workshops, a short meeting and a jam/Somewhere Session.

Section 2:   Members should be informed of and/or approve of the calendar, including summer camp outs, jams and a festival by the October meeting. 

Section 3:   If there is no Festival, the April meeting will be held at the regular club meeting day and time.

Section 4:   Special activities and workshops may be held as extended meetings or on other days.

Section 5:   Workshops may be conducted at each meeting for Hammered and Mountain Dulcimer and other instruments.

Section 6:   Kaw Valley Dulcimer members, serving as workshop leaders, or when presenting a program, shall be donating his or her expertise to the  organization.

ARTICLE V:  OFFICERS

Section 1: Term of office shall be from October of the year elected through September of the following year.

Section 2: The officers elected in the Kaw Valley Dulcimer Club and their respective duties shall consist of the President and Secretary/Treasurer.

Section 3: Nominations for the offices listed in Section 2 must be received in writing (print or electronic) by the nominating committee assigned by the current President before the month of August.

Section 4: The officers shall be elected by a written ballot voted upon by members at the August meeting.  The ballots shall be opened and counted by the nominating committee.

ARTICLE VI  DUTIES OF OFFICERS

Section 1:   THE PRESIDENT shall preside at all meetings of the Club; shall serve as (or may appoint) a publicity chairperson to promote the club and its activities and coordinate the annual Fun Fest. The President may appoint the following committee chairs: Program, Newsletter, Membership, Festival Coordinator and Courtesy.

Section 2:   ANY OFFICER may preside at all meetings in the absence of the President.

Section 3:   SECRETARY/TREASURER shall keep brief minutes of the meetings, maintain current membership files; keep a file on Club newsletters and correspondence; shall receive and distribute all monies under the direction of the club; and perform such duties as may be assigned by the President.

ARTICLE VII COMMITTEES

Section 1:   Program Committee shall consist of the at least two people: a mountain dulcimer and hammered dulcimer players. The Program Committee shall plan course of study for the year. They shall find individuals/members to conduct these workshops for the regularly scheduled meetings, keep track of music played and offered during workshops and maintain the Kaw Valley Dulcimer Club Music Book (aka the play list); and perform such duties as may be assigned by the President. Instructors are to provide their own copies of music as needed.

Section 2:   The Newsletter Committee will produce the monthly newsletter either electronically or in print and may also update the KVDC website.

Section 3.   Duties of the Membership Committee shall include greeting guests and encouraging them to join and to encourage attendance and participation of non-participating members.     

Section 4.   Duties of the Courtesy Committee shall be to coordinate refreshments, if need be, and provide paper supplies for each meeting. (Members may bring refreshments, rotate bringing drinks or treats each month based on their last names, A-L and M-Z, or committee members may find volunteers a week before each meeting.)  Work with the Membership Committee to make sure each new person (guest or member) is met, introduced and has on a plainly written name tag.  Make sure members have name tags on at each meeting so guests or new members will feel welcomed.

ARTICLE VIII           PERFORMANCES

Section 1:   If a performing group or individual receives a fee as part of an event funded and/or sponsored by the Kaw Valley Dulcimer Club, the fee shall become a part of the Kaw Valley Dulcimer Club treasury to help  meet expenses of the group. Special consideration will be given to members who have special needs in regard to travel hardships. Bills must be presented in writing, along with receipts, to the treasurer for reimbursement upon club vote of approval.

Section 2:   Members performing on their own and not representing the Kaw Valley Dulcimer Club shall handle fees as they see fit.

ARTICLE IX              AMENDMENTS

Section 1:   These by-laws may be amended by a majority vote of members present at a regular club meeting.

Section 2:   A proposed amendment must be presented in writing to the President and must be presented to the club one meeting before being voted upon.  This written proposal may be attached to the minutes.
